Administrative Assistant

The Administrative Assistant will assist the Artistic Director and Managing Director to support the administrative side of running a dance education non-profit. Key responsibilities include assisting with marketing and promotional events, database management, volunteer coordination, and facility rental, as well as preparing and tracking materials for classes, performances, and fundraising activities.  The ideal candidate is committed to helping the organization run as smoothly and efficiently as possible Must be: a proactive, collaborative team-member who is organized with a keen eye for detail; a self-sufficient, multi-tasker who is prepared to work in a fast-paced, yet relaxed and welcoming environment; flexible and willing to adapt to changing needs, identifying and assuming any duties and responsibilities as needed to strengthen the organization. This position is critical for the healthy functioning of the organization and requires excellent communication skills (spoken & written) with class participants, families, vendors, renters, dance educators and staff in all aspects of the work.

 

Essential Functions

Marketing and communication

  • Assist with implementation of a marketing plan for CDP programs and services, as well as Cohesion Center.  This will include extensive use of the CDP website, social media, and on-line calendars; preparation of more traditional means (press releases, newsletters, flyers/posting) to market classes, workshops, outreach activities, fundraising events, and performances, as well as Cohesion Center studio space and Backstage Theatre; and attendance and promotional support at events and performances.  

  • Oversee and serve as the primary contact for student interns and volunteers.

  • Serve as a community interface for CDP maintaining relationships with students and families, instructors, volunteers and the general public.

Studio Support

  • Prepare documents needed for tracking class enrollment, merchandise sales and inventory, ticketing, and fundraising activities.

  • Assist with school database management, performance materials,

  • Assist with management of facility rentals and theater events.

Other duties

Perform any duties that may arise as CDP operations, infrastructure, programs and services evolve, and as assigned by the Artistic and Managing Directors.

  • Work collegially and as an “ambassador of the organization” with all staff, families, students, renters, contractors, donors, board members, volunteers and members of the public with a consistent, positive, and friendly attitude.

  • Exercise discretion and maintain confidentiality as appropriate.

  • Training, professional development and mentorship will be provided, as needed, as related to specific CDP software and programs.

Requirements/Qualifications

The ideal candidate preferably has at least three years of relevant work experience in an administrative support position.

  • Must embrace the mission, vision, and values of CDP.

  • Outstanding organizational skills.

  • Works efficiently with high attention to detail.

  • Excellent written, interpersonal, and verbal communication skills. 

  • An overall commitment to excellence in quality of work and outcomes. 

  • Track record of adaptability, personal accountability and initiative. 

  • Proficiency with Microsoft Office Suite, Google Suite, and the ability to adapt to a variety of software systems.

Other Job Information

  • Position is part-time – estimated at 15 hours/week; with some flexibility to the schedule

  • Salary range is $15/hr to $18/hr depending on experience.

  • Position is located in Helena, Montana.
